Replace Me is an online hiring platform that connects employers with remote workers, primarily in the Philippines. We are the data controller for all personal information collected through this website.

We collect information you provide directly and information generated as you use the platform.

Information you give us:

• Name, email address, and password when you create an account
• Professional details: job title, skills (including typed skills), job experience history, and bio (workers)
• Worker demographics required for a complete profile: date of birth, gender (Male, Female, or Other), spoken languages, and employee photo
• Identity verification documents and related KYC fields for workers (admin-reviewed)
• Company name, industry, size, and website (employers)
• Profile photos or company logos you upload
• Messages and communications sent through the platform, including automated skill-match chat messages
• Payment billing details (processed securely by Stripe — we do not store card numbers)

What we do not collect from employers:

• Employer TIN/EIN, date of birth, gender, or personal home address

Information collected automatically:

• Device type, browser, and operating system
• Pages visited and features used
• IP address and general location (country/city level)
• Cookies and similar tracking technologies (see Section 8)

We use your information to:

• Create and manage your account
• Match workers with relevant job postings, including automated skill overlap matching that opens an in-app chat thread with a Quick Apply action for Starter+ employer jobs (matches are never sent by email)
• Enable employers and workers to communicate
• Process subscription payments and credits
• Send you important notifications about your account or applications
• Improve the platform, fix bugs, and develop new features
• Comply with legal obligations under Philippine law

We will not use your information for purposes incompatible with what is described here without obtaining your explicit consent first.

We do not sell your personal data. We share information only in these circumstances:

• Between users: Employers see worker profiles when you apply. Starter+ employers may also receive automated skill-match introductions in platform chat when a worker's skills overlap a job's requirements. Workers see employer company profiles and job details.
• Service providers: We use trusted third-party services to operate the platform, including Supabase (database), Stripe (payments), Resend (email), Vercel (hosting), Sentry (error and performance monitoring), and Better Stack (uptime monitoring). These providers may process technical data such as IP address, browser or device details, and error diagnostics solely to keep the service reliable and secure. We configure monitoring tools to scrub passwords, payment tokens, and other sensitive fields before events are sent. Providers only process data as needed to provide their services.
• Legal requirements: We may disclose information when required by law, court order, or to protect the rights and safety of our users.
• Safety reports: Workers may confidentially report employers or jobs. Employers use platform issue reporting or support email for product problems — not worker-report tools.
• Business transfers: If Replace Me is acquired or merges with another company, your information may be transferred as part of that transaction. You will be notified in advance.

We protect your data using industry-standard security measures, including encryption in transit (TLS/HTTPS), encrypted storage, strict access controls, and regular security audits.

While we take every reasonable precaution, no system is 100% secure. If a security breach affects your data, we will notify you in accordance with our obligations under RA 10173 and the NPC Circular 2022-01.

We keep your personal data for as long as your account is active or as needed to provide our services.

• Active account data is retained for the duration of your account
• If you delete your account, we remove your personal data within 30 days
• Certain records may be retained longer for legal, tax, or compliance purposes
• Anonymised or aggregated data may be kept indefinitely for platform analytics

Under the Philippine Data Privacy Act, you have the right to:

• Access the personal data we hold about you
• Correct inaccurate or incomplete data
• Delete your account and personal data
• Object to how we process your data in certain circumstances
• Data portability — receive a copy of your data in a readable format
• Withdraw consent at any time where we rely on consent to process your data
